Purchase of tickets via IRO
The below procedure is no longer valid as of 18 December 2023 – tickets for business trips abroad must only be purchased through Why not TRAVEL.
Purchase orders for business travel will be processed in accordance with the below rules:
- The subject of the email should include the destination and date(s) of the planned trip.
- Please use the Form to submit a request to receive an offer.
- Once the travel details are confirmed, it is required to submit a Ticket Purchase Order (for the low-cost airlines too) and a scan of the approved Travel Application to the email address bilety.sluzbowe@adm.uw.edu.pl. The Travel Application should be submitted to the Foreign Section at the Central Finance Department (Sekcja Obrotu Zagranicznego, Kwestura UW) in accordance with the official approval process established by the unit.
- A ticket can only be purchased based on a valid Ticket Purchase Order; it is not possible to request a reservation with a deferred purchase date.
- Before submitting an Ticket Purchase Order, all passenger data and travel details must be carefully checked (passenger’s name, contact details, route, flight schedule, luggage). Orders without the passenger’s telephone number and e-mail address will not be processed.
- It is also possible to request to purchase a ticket for guests of the University.
- Ticket Purchase Orders will be processed within the official working hours in accordance with the order in which they are received. In the case of a large number of Orders received, the waiting time may be extended.
- IRO is not responsible for errors in the tickets resulting from errors in the data submitted for processing.
- Invoices for the purchased tickets (with an indication if paid or not) will be transferred by IRO to the respective units, in order to enter it into the Finance and accounting system (in case an invoice does not contain the passenger’s data, route and travel dates, IRO will supply the information in written.
- Passengers shall check in on their own. For some airlines, there may be additional charges for checking in and/or collecting boarding pass at the airport.
- Passengers are also obliged to check the correspondence and notifications sent to the email address indicated in the Ticket Purchase Order, to which carrier may send current information about the trip – that information may not be sent to IRO.
- In the case of purchasing of tickets for a group to a specific location in connection with the same event, which price exceeds the equivalent of net value of PLN 130 000, it is required to publish an announcement of tender by the respective unit.
